How does one track your projects

Any project coordinator operates four elements: expenditure, schedule, time and producing a satisfactory result. Professional PMs also try to make the organization of business processes more efficient. The majority of tasks employ such recourses as people, money, and equipment to achieve results and hit selected targets. You should know that there are a lot of things that are crucial for efficient project management. A few of them can be found in the next paragraph:

- Goal setting and reviewing progress.

- Managing uncertainty. Any project contains a lot of risks that should be dealt with.

- Assigning and supervising resources.

- Having a clear idea about the outcome you wish to obtain on completion of the project.

- Supervising the project from the point of view of who is performing what and at what time.

- Assuaring adequate quality.

- Handling instability. Circumstances change. When you start out on the project, you have to forsee how it will evolve with time.

- Speaking with everybody doing the project.

To deal with these components you can use pen and a notepad or probably a spreadsheet program. However, you get some interesting pluses if you decide to use project tracking software:

- Idividual jobs are smoothly assigned to dates and times. Duration can be calculated by the program using the workload information. Each worker can possess their own calendar. Tracking progress also becomes less of a problem.

- Working with a number of projects and managing a set of specifications. Executives can use productivity management software to simplify analysis of several big projects.

- Critical path becomes clearly visible. The critical path is a primary principle in project management. Should an activity on this path take less or more time, the whole project is going to be affected. At the same time for activities that are not on the critical path minor modifications in how long it takes can have no impact whatsoever on the project.

- Letting everybody involved be aware of what is happening. Complicated projects demand a lof of communication. Groupware productivity tracking software enables everybody to be on the same page at any given point in time.

Is it always necessary to use task tracking software?

Like any instrument, project tracking software has its limitation. The most suitable time to use such software is when you work on a few big projects. It might be a good idea to operate simple projects manually, so that you do not have to deal with big overhead connected with using complex software solutions.
